Terms of Service

1. Agreement to Terms

By accessing or using the CDE 2026 website and delegate portal (the "Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, please do not use the Service.

The Service is operated by the Conference on Diversity in Engineering 2026 organizing committee, under the Canadian Federation of Engineering Students (CFES).

2. Eligibility

The delegate portal is intended for registered attendees of CDE 2026. To use the portal, you must:

  • Be a registered delegate, speaker, sponsor representative, or volunteer for CDE 2026
  • Be at least 16 years of age
  • Have a valid email address
  • Agree to abide by the CDE 2026 Code of Conduct

3. Account Registration

To access the delegate portal, you must create an account using Google or Apple sign-in. You are responsible for:

  • Providing accurate and complete registration information
  • Maintaining the security of your account credentials
  • All activities that occur under your account
  • Notifying us immediately of any unauthorized use of your account

4. Code of Conduct

CDE 2026 is committed to providing a safe, inclusive, and harassment-free experience for everyone. By using the Service, you agree to:

  • Treat all participants with respect and dignity
  • Refrain from discriminatory, harassing, or offensive behavior
  • Not use the networking features to spam or harass other delegates
  • Respect the privacy and boundaries of other attendees
  • Report any violations of the Code of Conduct to conference organizers

Violations of the Code of Conduct may result in removal from the conference and revocation of access to the delegate portal without refund.

5. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose
  • Attempt to gain unauthorized access to any part of the Service
  • Interfere with or disrupt the Service or servers
  • Upload or transmit viruses or malicious code
  • Collect or harvest information about other users without consent
  • Impersonate another person or entity
  • Use automated systems to access the Service without permission
  • Share your QR code credentials with non-registered individuals

6. Delegate Portal Features

6.1 QR Code and Check-ins

Your personal QR code is for your use only and is used for session check-ins, meal access, and connecting with other delegates. Do not share your QR code with others.

6.2 Networking and Connections

The connection feature allows you to exchange contact information with other delegates by scanning QR codes. By making a connection, you consent to sharing your profile information (based on your privacy settings) with that delegate.

6.3 Impact Points and Leaderboard

Impact Points are earned through participation in conference activities. Points and leaderboard rankings are for engagement purposes only and have no monetary value. We reserve the right to adjust points or remove users from the leaderboard for violations of these Terms.

7. Intellectual Property

The Service and its original content, features, and functionality are owned by CDE 2026 and CFES and are protected by copyright, trademark, and other intellectual property laws.

You retain ownership of any content you submit (such as your "My Why" statement), but grant us a license to use, display, and share this content as part of the Service.

8. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, SECURE, OR ERROR-FREE. YOUR USE OF THE SERVICE IS AT YOUR OWN RISK.

9. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, CDE 2026, CFES, AND THEIR ORGANIZERS, VOLUNTEERS, AND AFFILIATES SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES ARISING OUT OF OR RELATED TO YOUR USE OF THE SERVICE.

10. Indemnification

You agree to indemnify and hold harmless CDE 2026, CFES, and their organizers, volunteers, and affiliates from any claims, damages, losses, or expenses arising from your use of the Service or violation of these Terms.

11. Termination

We may terminate or suspend your access to the Service immediately, without prior notice, for any reason, including breach of these Terms. Upon termination, your right to use the Service will cease immediately.

12. Changes to Terms

We reserve the right to modify these Terms at any time. We will provide notice of significant changes by posting the updated Terms on this page. Your continued use of the Service after changes constitutes acceptance of the modified Terms.

13. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the Province of British Columbia, Canada, without regard to its conflict of law provisions.

15. Severability

If any provision of these Terms is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary so that the remaining provisions remain in full force and effect.
